This month, we’re introducing updates that give admins more control over how and when teams request, approve, and report on space bookings. As a result, these improvements reduce last-minute requests, while also simplifying approval workflows for trusted spaces and ultimately providing clearer visibility into resource usage.
Here’s what’s new:
- Booking Window for Spaces – Require guests to book spaces a set amount of time in advance, so admins can reduce last-minute requests
- Automatic Approval by Space – Choose which spaces auto-approve booking requests and which require manual approval.
- Improved CSV Reporting Layout for Resources – Clearer reporting with resource data separated by custom filters.
1. Spaces: Booking Window
Admin users can now define a booking window for individual spaces, so they control how far in advance teams must request a space. This helps prevent last-minute bookings and gives teams more time to prepare rooms before use.
With booking window, you can:
- Require advance notice in minutes, hours, or days
- Apply individual rules for different spaces
- Reduce operational disruptions caused by short-notice requests
This is especially useful for spaces that need setup time, staff coordination, or have limited availability.
2. Spaces: Automatic Approval for Selected Spaces
Spaces can now be individually configured to automatically approve bookings when they are reserved. This allows trusted or low-risk spaces to move through the submission process without manual moderation.
Automatic approval:
- Is configured per space upon creating or editing an existing space
- Applies to bookings submitted through the front-end submission form
- Works together with existing submitter approval settings within Community Events Settings
This helps teams reduce approval overhead with automatic approval for some spaces, while still maintaining control over who will book other spaces.
3. Reports: Improved CSV Layout for Resources
We’ve enhanced the Event CSV layout so teams can read and analyze resource data more easily. Now, the CSV separates resource information based on custom filters, instead of grouping everything into a single column.
This improvement helps teams:
- Better understand resource data
- Generate cleaner, more actionable reports
- Align exported data with how resources are structured in the system
